Assistant Event Coordinator Summer Student Position

Pay: $23.75 per hour

Hours: 30 hours per week

Duration: 9 weeks

Schedule: Monday through Friday in July, some evenings, and weekends in August. You must be available from August 1 to 17th and for festival dates August 15, 16, 17th.

Reporting to: Executive Director and Production/Marketing Lead

Job brief

We seek a dynamic and organized individual to join our team as an Assistant Event Coordinator for the Chilliwack Mural Festival. As the Assistant Event Coordinator, you will be key in planning, coordinating, and executing all festival-related activities. This is an exciting opportunity for someone with a passion for the arts and experience in event management to contribute to the success of a vibrant community event.


Responsibilities

Plan and execute all aspects of the Chilliwack Mural Festival, including but not limited to artist selection, mural site preparation, event logistics, and marketing initiatives.


  • Serve as a point of contact for festival participants, sponsors, vendors, volunteers, and the local community.

  • Coordinate with local business owners to encourage participation.

  • Collaborate with marketing lead to promote the festival through traditional, social, and other media.

  • Coordinate with artists and mural sites to ensure the smooth execution of mural installations, including managing timelines and providing logistical support.

  • Manage inventory and distribution of event materials

  • Coordinate with artists, photographers, videographers, and other vendors.

  • Manage and organize event digital files and documents.

  • Handle phone calls, emails, and inquiries related to the event.

  • Maintain contact lists and databases.

  • Assist in coordinating transportation and accommodation for muralists and artists if necessary.

  • Assist in creating and distributing promotional materials throughout the Fraser Valley.

  • Contribute to social media campaigns and other marketing efforts.

  • Help track and report on the effectiveness of promotional activities.

  • Assist in drafting and distributing event-related communications to local businesses, vendors, participants, etc.

  • Provide on-site support during the event, addressing any issues that may arise.

  • Assist in the setup and breakdown of the event.

  • Coordinate with staff and volunteers.

  • Assist in gathering feedback from participants and stakeholders.

  • Compile post-event reports and evaluations.


Requirements and skills

  • Proven experience in customer service, administration, or as an event coordinator

  • Proficient in MS Office

  • Excellent vendor management skills

  • Outstanding communication and negotiation ability

  • Well-organized with multi-tasking skills

  • Able to handle stress and remain calm

  • Problem-solving ability

  • Studying hospitality management, public relations, marketing, or a relevant field is preferred.
